  • How fast can I get documents?
    It depends on the jurisdiction and filing work. In Ontario and Alberta, almost all services under Notice of Change can be done in 2 business hours. In some provinces, a corporation access code or company key or password is required to access the corporation. If you are able to provide the key or password, we may be able to process in 2 business hours as well. However, if you cannot provide the key, we can obtain it from the Government and file on be half of you. in such case, it may take 5 to 10 business days to complete the task. You will be provided service speed options at the end of this form.

  • What is Corporation Number?
    The corporation number normally can be found on the certificate of corporation or articles of incorporation. The corporation number was assigned during the registration time. In Ontario it is also known as OCN number. In Alberta, it's called Corporate Access number and in BC it's called Company Number. If you do not know the corporation number, you may leave it blank and we can obtain it for you.
  • What is Order Number
    If you can provide the previous order number, we may expediate your filing process. Order number can be found in the subject line of the order confirmation email that was sent to your email by Incorp Pro.
  • What is a Professional Corporation?
    A professional corporation is a corporation that provides services by certain professionals such as doctors, engineers, lawyers, architects, CPAs etc. Professional Corporations are regulated by a governing professional body such as the Law Society, Engineering Association, the College of Physicians and Surgeons etc.
  • Company Access Code (Key or Password)

  • Your corporation is security locked. To file any change, the company access code is required. This code also known as Company Key (Ontario) or Corporation Key (Federal) or Company Password (BC). You must upload this access code that was provided to you when you first time incorporated this company. If you do not have it, we can obtain it from the Government at additional cost and time.

  • What is Ontario Company Key?
    As of October 19, 2021, Service Ontario issued the notice that every Ontario corporation MUST obtain a company key to access the corporation. This implies, without corporation key, you won't be able to do any change nor any filing on your corporation. Please Click here to Sample of Company Key
  • What is federal corporation key?
    When a federal corporation is registered, Corporations Canada provides a document named "Corporation Information Sheet". The Corporation Key is mentioned on this document.   • What is New Brunswick Access Code?
    Service New Brunswick sets up a a Corporate Access Code to prevent unauthorized access to the company. Prior to access the company or filing a change, the code must be obtained from the Government. If you don't know the access code, we can obtain it from the Government on be half of you. It takes around 3 to 5 business days to obtain it.
  • What is Saskatchewan Corporate Access Code?
    Saskatchewan Government sets up a a Corporate Access Code to prevent unauthorized access to the company. Prior to access the company or filing a change, the code must be obtained from the Government. If you don't know the access code, we can obtain it from the Government on be half of you. It takes around 3 to 5 business days to obtain it.
  • How long it takes to obtain?
    Once we submit a request, the Government takes between 3 to 5 business days to process. The Government may send it by post to your company's official address. once you receive it, please email us the scan copy of it.
  • Certified Profile Report Required

  • To file a Notice of Change, the Government requires a true certified Profile Report of the company. If you have obtained it already by yourself, you may upload it. If you do not have the corporation Profile report, we may obtain it from the Government on be half of you at additional cost and time.

  • What is Certified Profile report?
    The corporation's certified Profile Report is required to file any change to the corporation as per government requirements. It normally displays current information on the public record for the subject corporation, including the active directors and officers are listed. It may display some historical information, such as amalgamating corporations, where the subject corporation is an amalgamation, and name history are included in the report.
  • How long it takes to obtain?
    Different jurisdictions have their own requirements and processing time to provide the corporate profile report. Usually, it takes 3 to 5 business days.
  • Can I obtain it myself?
    Yes. You have the option to obtain yourself and upload it here. However, a correct document must be obtained. If you obtain it yourself, make sure you obtain the certified version for correct purpose.

  • What is an officer's role?
    Officers are the day-to-day managers of the corporation. Officers include the President and Vice-President of the corporation. The duties of the various officers are established by the directors and by the by-laws of the corporation.

    You may choose any designation that you like. These designations are changeable in future with the expansion of the corporation. Most people choose CEO or President as the designation of the primary officer.

    An individual must be at least 18 years of old to be added as an officer.
  • Can same person be in many roles?
    Yes, same person can be director, incorporator, officer, and shareholder. Most new corporation starts in that manner and changes when it grows bigger.

  • What is registered address?
    The registered office is the statutory address of a corporation. This must be a street address; a P.O. Box is not acceptable. The registered address is the place where business is operated.
  • What is mailing address?
    The mail address can be a physical address or a PO Box. It must be in the province of registration. Legal notices, annual reports, Canada Revenue Agency notices etc. are sent by the Corporate Registry to this address.
  • What is records address?
    The Records Office is where the corporate records (contained in the corporation's minute book) of the corporation are kept.
  • What is official email?
    The company's email address is used to contact the company owners. It is also used to authenticate any access to the corporation. When the company owner's would like to do any filing including annual return, notice of change or finding the Company Key, the verification code is sent to the email.

  • What is director's address?
    This is the correspondence address of the director. A director's personal statutory mail from government agencies is delivered there. A company director can use their home address as their correspondence address. A correspondence address does not need to be a commercial office-based address.   • Why Residency Status must be updated?
    A director who's immigration status got updated from "foreigner" (non-resident) to a Permanent resident or Citizen, must update their residency status in corporation papers within 15 days of the status change.
  • What is the Definition of Resident Canadian?
    A resident Canadian is defined in the Act as an individual who is (a) a Canadian citizen ordinarily resident in Canada, (b) a Canadian citizen not ordinarily resident in Canada who is a member of a prescribed class of persons, or (c) a permanent resident within the meaning of the Immigration and Refugee Protection Act (Canada) and ordinarily resident in Canada.

  • What is designation?
    Designations are the official job titles given to employees. Commonly used designations are: Chief Executive Officer (CEO), President, Chief Operations Officer (COO), Chief Financial Officer (CFO), Chief Technology Officer (CTO), Vice-president, Chief Marketing Officer (CMO), Secretary, Treasurer etc.
  • What designation to choose?
    You may choose any designation that you like. These designations are changeable in future with the expansion of the corporation. Most people choose CEO or President as the designation of the primary officer.

    There is no set rule with respect to any title. A company can designate officer titles that it wishes, however, it is always good to have a President and a Secretary.

  • How to put share in percentage?
    Total share is calculated by adding up each shareholder's share number. Example: your share is 60, your spouse's share is 40. Then total shares = 60 + 40 = 100. In this case, you hold 60% and spouse holds 40%. If more than one shareholder and you want to assign in percentage, make total share number as 100.
  • Shareholder Agreement?
    To re-distribute the outstanding shares among the shareholders, a Shareholder Agreement will be prepared by our lawyer and will be provided to you for signature of all shareholders. The price includes the legal fees.
  • Alberta Agent For Service

  • Important Reminder: You are removing certain individual(s) from your corporation's director, officer or shareholder position. If the same individual was added as an Agent for Service, it's important to note that the individual still will remain as the primary point of contact with the Government. The individual may have access to your corporation. We strongly advise you to remove the individual from Agent for Service position.
  • Important Reminder: The Government of Alberta has announced mandatory requirement to add an Agent for Service for new and all previously registered corporations. Failure to do so, the corporation could be dissolved by the government. The Agent must be an Alberta resident who can accept notices and documents in person or by mail on be half of the corporation. We strongly advise to appoint an Agent for Service for your corporation.

  • What is Agent for Service?
    The Government of Alberta has announced mandatory requirement to add an Agent for Service for all previous or newly registered corporations. Failure to do so, the corporation will be dissolved by the government. An agent for Service must be an Alberta resident who can accept notices and documents in person or by mail on be half of the corporation.

    As per government rules, a valid photo ID submission is mandatory. It can be the driving license or copy of passport's information pages. This is a requirement set out by the Government of Alberta.
